About the Role

We are delighted to be working with a leading professional services organisation who are seeking an enthusiastic and proactive Team Assistant to support their Marketing and Operations teams.

Key Responsibilities

Diary & Inbox Management

  • Managing complex diaries for senior stakeholders
  • Scheduling meetings and ensuring all attendees are appropriately briefed
  • Monitoring and managing multiple inboxes, ensuring timely follow‑up on all correspondence
  • Creating meeting minutes and preparing materials for upcoming sessions

Events & Team Coordination

  • Organising team meetings, away days, and social events for teams of up to 45 people
  • Arranging logistics including venues, presentations, catering, and entertainment
  • Managing team celebrations including birthdays and work anniversaries
  • Supporting the coordination of larger conferences and events

Onboarding & HR Support

  • Managing the new joiner and leaver process
  • Coordinating IT equipment and onboarding sessions
  • Arranging appraisal meetings
  • Maintaining employee records and distribution lists

IT & Systems Management

  • Managing central SharePoint sites for marketing and operations
  • Acting as the London point of contact for IT queries
  • Conducting Salesforce audits to ensure system compliance
  • Keeping email distribution lists current

General Administration

  • Processing expenses and booking travel
  • Supporting wider team with CV formatting and administration
  • Booking client and candidate meetings
  • Managing contract administration spreadsheets
  • Conducting feedback surveys

About You

We're looking for a motivated individual with:

  • Strong MS Office skills – confident across Word, Excel, PowerPoint, and Outlook
  • Excellent interpersonal skills – ability to build relationships at all levels
  • Discretion and confidentiality – you'll have access to sensitive information
  • Can‑do attitude – team‑oriented with a positive approach
  • Strong communication skills – both written and verbal
  • IT literate and AI curious – comfortable with technology and eager to learn
  • OMBS or Quest qualifications would be advantageous
