Our client is seeking a Marketing & Operations Coordinator to support senior leadership across business development, marketing, proposals, communications, and studio operations.
The Marketing & Operations Coordinator will keep teams running smoothly, maintain a consistent brand presence, and contribute to client-facing materials, events, and internal processes.
This role is based in the City of London.
Marketing & Operations Responsibilities:
Assist with proposals and bid management
Maintain proposal templates, credentials, and an RFP response library
Track business development targets and support annual BD planning
Research and coordinate marketing and networking events
Organise client presentations, workshops, and meetings
Oversee production and consistency of marketing materials
Source or arrange project photography to capture key milestones
Identify relevant conferences, awards, and speaking opportunities
Support PR by tracking press mentions and promoting shortlistings and wins
Schedule regular PR/marketing review meetings with leadership
Coordinate social media and internal communications
Produce clear, well-designed documents and presentations (using InDesign and other tools)
Support internal reporting, technical documentation, and presentation material
Maintain website and intranet content
Manage an image library of project photos and studio visuals
Coordinate internal and external events
Support onboarding and inductions for new joiners
Keep staff CVs and project profiles current
Provide occasional front-of-house cover to ensure a smooth studio experience
Provide administrative support to directors and senior leadership
Coordinate QA templates and client feedback schedules
Assist project teams with reporting and design-stage documentation
Ideal Marketing & Operations Responsibilities:
Strong written and verbal communication skills
Ability to manage multiple deadlines with excellent attention to detail
Confident prioritisation and independence while working collaboratively
Adaptable, well-organised, and comfortable in a fast-paced environment
Advanced MS Word, Excel, and Adobe PDF
Proficiency in Adobe InDesign (Photoshop or Illustrator a plus)
Familiarity with CMS platforms for website updates
Experience with desktop publishing, marketing materials, or document control is advantageous
