Be the go‑to person keeping our marketing team organised and energised, scheduling meetings, coordinating calendars, organising team events, and assisting with travel arrangements, expense reports and other administrative tasks. Serve as the central point of contact for inquiries, routing communications to the appropriate team members and ensuring timely responses. Maintain organised and up‑to‑date files, documents, and databases to facilitate easy access to information and resources for the Marketing team, and ensure the efficient recording and regular review of the client review database to support client listening. Process invoices in a timely and accurate manner, working closely with vendors, finance, and procurement teams to resolve any billing discrepancies. Assist with budget tracking and reporting to help ensure marketing expenses are effectively managed and accounted for. Work across the Marketing team to ensure that work flows efficiently and effectively through specialist teams, collaborating with Marketing colleagues to streamline processes and improve operational efficiency. Communicate effectively with team members to gather information, provide updates, facilitate collaboration on various projects and initiatives; maintain regular communication with Client Partners and Reviewing Partners to feed a steady pipeline of independent client reviews. Identify opportunities to streamline workflows, automate repetitive tasks and improve overall efficiency within the marketing operations function, staying informed about industry best practices and emerging trends.
Qualifications
Previous experience in an administrative support, marketing or operations coordination role (essential). Proficiency in Microsoft Office suite (Word, Excel, PowerPoint), including advanced Excel skills (data management, complex formulas, lookups, pivot tables, and data visualisation). Strong organisational skills with the ability to manage multiple tasks and priorities effectively. Attention to detail and accuracy in data entry and document management. Excellent communication and interpersonal skills, with the ability to work collaboratively in a team environment. Ability to adapt to changing priorities and thrive in a dynamic environment. Familiarity with CRM systems and task management tools (desirable, not essential).
