Purpose of the role
To provide high-quality administrative and operational support to the marketing team, ensuring smooth day-to-day operations and assisting in the successful delivery of marketing initiatives, events, and team coordination. You will be reporting to the Head of Marketing & Communications.
Key responsibilities of the role
Administrative Support & Diary Management
Manage central team mailboxes, responding to queries and directing messages appropriately.
Maintain and coordinate diaries for directors and senior team members, scheduling internal and external meetings.
Provide administrative support for various internal committees, including preparing agendas, taking meeting minutes, and following up on actions.
Assist with department-wide initiatives such as presentations, organograms and case studies.
Events & Marketing Support
Assist with planning and execution of events and on-site support.
Work closely with the design team to order promotional items and branded merchandise.
Monitor and manage stock levels of merchandise & promotional materials and liaise with external suppliers for reorders.
Organise all team meetings/WIPs collate slide decks, circulate agenda and minutes.
Finance & Procurement
Manage invoices in our system ‘Compleat’ to ensure they are coded for approval.
Manage the reconciliation of Marcomms credit card payments via the Expenses system.
Communications & Digital Support
Sourcing, analysing and creating daily and weekly media coverage reports.
Assisting with compilation of quarterly department dashboard.
Updating content on the company intranet, Colliers Hub.
Assist with social media and website updates in collaboration with the digital team.
Monitor internal communications and provide administrative support for team-wide initiatives
General
Any other task that may reasonably be required.
Qualifications
Knowledge of Microsoft Office, including Word, Excel, PowerPoint and Teams.
Good organisational skills with ability to prioritise multiple tasks.
Strong written and verbal communication skills.
Professional attitude and presentation.
High level of attention to detail including strong proof-reading skills.
Able to build relationships.
Be a real team player with a proactive “can do” attitude.
Experience using the following would be advantageous (though training will be provided):
- Salesforce, or similar CRM system.
Email marketing platform, e.g. Adobe Marketo.
Social media tools including Hootsuite, LinkedIn, etc.
CMS experience e.g. WordPress, Sitecore.
Photo or editing software e.g. Canva, Photoshop, Illustrator, Adobe Premier pro.
Video conferencing software e.g. Zoom or MS Teams.
