Role Overview:
We are seeking a proactive and highly organised Team Assistant to support the Regulatory Policy Team. This position plays a vital administrative and coordination role, ensuring the smooth operation of team activities, working groups, meetings, and events. The ideal candidate will be adept at managing multiple tasks, have excellent interpersonal skills, and bring a can-do attitude to a fast-paced, professional environment.
Responsibilities:
Regulatory Policy Team Support:
Act as a point of contact for the team, managing diaries, scheduling appointments, and responding to emails and phone calls on behalf of senior staff. Arrange travel logistics, including hotel, taxi, flight, and rail bookings; compile travel packs with necessary tickets and meeting summaries. Provide full administrative support to working groups, including scheduling, agenda preparation, attending meetings to take minutes, and circulating documentation post-meeting. Coordinate internal meetings and manage related logistics. Process and collate team expenses. Maintain and update internal databases, including working group and committee lists.
Event and Office Support: Assist with event support when hosting external events in London, including conferences and dinners; this includes on-site registration and coordination (some evening work required). Provide cover for the Executive Assistant to the Head of Europe and Office Manager during periods of absence.
Essential Skills and Experience: Strong knowledge of Microsoft Office Suite, with working ability in PowerPoint and Excel. Exceptional organizational and time management skills. Confident communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders. High level of discretion, tact, and professionalism. Self-motivated, adaptable, and capable of taking initiative.
Reporting Line: This role reports directly to the European Head of Policy.
